Outline of
the Policy Governing the Federal Work Study Program:
1. All students seeking employment through the Federal
Work Study Program (FWSP) must file a FAFSA application online at:
www.fafsa.ed.gov
.
Applications for the fall and spring semesters
must be received by May 15th for priority consideration for
coursework during the fall and spring semesters of the following academic
year.
Under no circumstances is the
student to begin work for a department until he/she has been
certified eligible for the Federal Work Study Program by the
Student Financial Aid Office and has a work permit and award
letter.
2. Job placement for FWSP students is handled through
the Student Financial Aid Office which secures "Job Requests"
from the departments on campus and from projects off campus.
Qualified students come to the Financial Aid Office for referral
to prospective employers.
Students are afforded equal employment
opportunity without regard to race, sex, creed, color or national
origin. The student obtains an Interview Form from the Financial
Aid Office and presents it to his/her prospective employer.
After the interview has been
completed, the employer fills in his/her portion of the form
and returns it to the Financial Aid Office. The student's Interview
Form must be returned to this office before he/she can be placed
on the payroll. In addition, employment forms and a W-4 form
must be completed.
3. Each department completes a monthly Time Record
Earnings Form for each Student. These forms are submitted to
the Financial Aid Office monthly. Payroll checks for each student
are mailed by Business Office personnel.
4. For current wages, check with your Financial Aid
Advisor.
5. Student wages are subject to Federal Income
Tax. Each student must file an Employee's Withholding Exemption
Certificate (W-4) with his/her employer before being placed on
the payroll. The Student Financial Aid Office furnishes these
forms.
Statements of wages withheld
(W-2 Forms) are issued by PCC at the end of the calendar
year. Before terminating employment with the college, the student is
responsible for providing a forwarding address to their employer so that
these forms can be forwarded without delay.
6. Students who work on a part-time basis on FWSP
while enrolled in school are not covered by Social Security.
Students are covered, however, when they are not enrolled in school
and working on a full-time basis and Social Security deductions
are made from their wages. Each off-campus agency employing full-time
student workers will be billed for the employer's matching share
of Social Security.
7. No student is permitted to work more than 20
hours per week.
8. No qualified FWSP student may work for more than
one department or hold more than one job simultaneously.
9. Students on academic warning or probation may
not hold college employment. All students must meet the Financial
Aid Standards of Progress.
10. Supervisors are at complete liberty to discharge
a student at any time that the student proves to be unsatisfactory.
(The Financial Aid Office must be notified).
11. When a department or off-campus project no longer
has need of a Federal Work Study employee, the employer must
submit a Termination Form to the Student Financial Office, preferably
with the Payroll Sheet form from which the student's final check
is calculated.
12. All students must sign a work permit in
order to begin employment.
13. No student may work during the hours that he/she
has a scheduled class.
14. Students who have graduated, and/or do not intend to
enroll in classes for the term may not work during
the summer.
15. Students cannot work over 4 consecutive hours
without a break or lunch period.
16. Students cannot work on campus during holidays.
